01
Business Problem
Operational changes involving suppliers, orders, inventory and implementation can create fragmented records, unclear ownership and missed follow-ups when assessments, tasks, meeting decisions and deadlines are tracked separately.
02
Objective
Create a structured system that keeps each proposed change, its assessment, related actions, decisions, owners and deadlines connected from intake through implementation.
03
Solution
A centralized Airtable system was designed with linked records for intake, change records, implementation tasks, meeting actions and decisions. Personal task views support individual ownership, while a leadership interface provides a concise operational summary.
04
Workflow / How It Works
- 01A proposed change is captured through a pre-assessment intake form.
- 02The submission creates a structured change record for review and assessment.
- 03Implementation tasks are created as linked child records with owners and deadlines.
- 04Meeting actions and decisions are recorded against the relevant change.
- 05Personal views surface each owner’s tasks while the leadership view summarises progress.

Tools & Integrations
06
Key Automations
Scheduled monitoring of overdue records with automated email notifications.
- Intake submissions create new change records
- Task records are linked to their parent change
- Scheduled overdue record monitoring
- Automated email notifications to owners
- Status and ownership updates flow into reporting views
07
Business Impact / Expected Outcome
The proposed workflow is intended to improve traceability, ownership, follow-up and management visibility while reducing the effort needed to assemble status updates. These are expected outcomes of this portfolio demo, not verified results from a pharmaceutical client.
